EQUESTRIAN HOLIDAY BOOKING: TERMS & CONDITIONS

1. About these terms

These Terms & Conditions apply to equestrian holidays booked directly with Old Brook Farm, Buckfastleigh, Devon, TQ11 0HR. By confirming a booking, the lead guest agrees to these terms on behalf of all members of the party.

Old Brook Farm provides luxury guest accommodation together with equestrian facilities.  We provide a base on the edge of Dartmoor, from which guests can ride out independently. For experienced riders who aren't able to bring their own horse, we can introduce you to Cheston Farm Equestrian, who can provide horses and an instructor by separate arrangement.

2. Booking and payment

A 50% deposit is required to confirm a booking. The remaining balance is due 14 days before arrival when our Horse & Rider Information Form will be sent out for guests to complete.

3. Cancellation by you

If you cancel more than 14 days before your scheduled arrival date, payments made to Old Brook Farm will be refunded. If you cancel within 14 days of arrival, payments are normally non-refundable. Where cancellation is due to illness, injury or horse lameness, we will do our best to offer an alternative date, subject to availability.  We strongly recommend that guests arrange suitable travel insurance, including cover appropriate to a holiday involving their own horse.

4. Cancellation or changes by Old Brook Farm

Very occasionally circumstances outside our reasonable control may make it unsafe or impossible to provide the holiday as booked.  If we have to cancel your booking and you are not at fault, we will offer an alternative date where possible or refund payments made to us for the affected booking.

5. Arrival and departure

Check-in is normally from 2pm and check-out is at 11am, unless another time has been agreed. 

Please follow the access and parking instructions supplied before arrival. The farm has rural, single-track and unmade access and not all routes are suitable for large vehicles. Horseboxes or lorries over 7.5 tonnes must be discussed with us before travel, so that suitable arrangements can be made.

6. Visiting horses – health requirements

All horses attending Old Brook Farm must have been vaccinated against equine influenza within the past 12 months, and be on a worming programme. They must be free from signs of infectious or contagious disease at the time of travel and must not, to the owner's knowledge, have been exposed to any horse exhibiting symptoms of infectious disease. Each horse's passport must be available on request.

If a horse becomes unwell during the stay, please tell us promptly and take appropriate veterinary advice. We reserve the right to require reasonable isolation or other precautions where necessary to protect other horses on the property.

7. Your responsibility for your horse

Guests remain responsible for the care, welfare, supervision and control of their own horses throughout the stay.

You are responsible for deciding whether your horse is suitable for the terrain, routes, turnout and other conditions you intend to encounter on Dartmoor. The local riding can include uneven ground, stony tracks, hills and natural moorland conditions.

Guests must follow reasonable instructions concerning stabling, turnout, gates, fencing, feed/hay storage, manure and shared yard areas.

8. Stabling, hay and turnout

Stabling is provided on rubber matting with straw bedding. Hay and normal mucking-out equipment are provided.

Turnout is normally available in an approximately 1.5-acre paddock. If guests require horses to be separated, this can be discussed in advance. Where guests are asked or permitted to use their own electric fencing tape/posts, they are responsible for installing and maintaining it safely.

9. Riding and safety

Old Brook Farm is a base from which guests ride independently. Riders are responsible for assessing their own ability, their horse's fitness and suitability, the weather, route, road and ground conditions before setting out.

Routes and local riding information supplied by Old Brook Farm are provided as helpful information only. Conditions, access and routes can change. Riders remain responsible for checking their intended route and for complying with highway, access and countryside requirements.

A riding hat meeting a current recognised safety standard must be worn whenever mounted.  Riding is undertaken at the rider's own risk.

10. Insurance

Guests bringing horses must have appropriate insurance in place, including suitable third-party/public liability cover and personal accident cover for the activities they intend to undertake.

11. Dogs

Well-behaved dogs may be accepted by prior arrangement. Please contact us to discuss.

12. Children

Children are welcome, but the farm is a working rural and equestrian environment and is not child-proof. Parents or guardians remain responsible for appropriate supervision at all times, particularly around horses, dogs, poultry, water, vehicles, machinery, electric gates and electric fencing.

13. The farm environment

Old Brook Farm is an active rural property. Horses, resident livery clients, yard workers, dogs, chickens and geese may be present, and farm vehicles including the Polaris may operate around the property. Other livestock may occasionally graze the land.

​

14. Fire and smoking

Smoking is permitted only in agreed outdoor areas. Cigarettes must be fully extinguished and must never be discarded on grass, in fields, barns, stables or animal areas.  Fire bans may come into place during dry conditions.

15. Care of the property

We ask guests to treat the farmhouse, stables, land and facilities with the same care they would their own home. Please let us know about any breakages or damage during your stay, or if there is anything we can do to make your stay more comfortable.

16. Your rights

Nothing in these terms affects your statutory rights or excludes any liability which cannot lawfully be excluded.

17. Data and pre-arrival information

We use information supplied in connection with a booking to administer the stay, communicate with guests, manage safety and provide the services requested. Health, allergy and emergency information supplied before a stay will be handled only for appropriate hospitality and safety purposes. WILD CAMPING: TERMS & CONDITIONS

All wild camping at Old Brook Farm is booked exclusively through Wild With Consent. Their booking terms and conditions apply to camping bookings.

FILM AND PHOTOGRAPHY LOCATION: TERMS & CONDITIONS

Old Brook Farm is available for selected film and photography enquiries. Location bookings may be arranged through our specialist location agent, Farm Locations. Final hire arrangements are subject to the applicable location agreement, agreed scope of the shoot, insurance and any production-specific safety requirements.
